Role overview
British Council Ghana delivers a mixed portfolio of activities in Education, Society and Arts. Our work boarders on skills development, capacity building, policy dialogue, scholarships management and schools partnership exchanges. We provide opportunities at the pre-tertiary level for schools to exchange ideas, knowledge and professional development with counterparts in the UK.
Vodafone Ghana Foundation Scholarship (VGFS)
Vodafone Ghana Foundation in conjunction with British Council, through the Vodafone Scholar project seeks to promote female education and increase women’s engagement in Science and Technology in Ghana. The project seeks to identify and empower 100 SHS females with high academic grades but low financial/economic resources to study in Science, Technology, Engineering and Mathematics every year for 3 years. The scheme also awards 10 females with very good academic background but with financial difficulties scholarships to study at the University of Education, Winneba.
Provisions made by the scholarship for SHS students
- Fully funded tuition fees including boarding facilities (where applicable)
- Government approved text books
- Uniforms and sandals
- Stipend etc.
VGFS Mentorship Programme (Girls Camp)
Aims and Objective
Among other things the mentorship programme will equip scholars with the:
- ability to set clearly defined career paths
- skills to network for future opportunities
- confidence to challenge the status quo
- confidence to initiate conversations
- critical thinking and analytical skills
- financial management skills

Programme Venue
Kumasi (find a suitable venue for 220 girls)
Date: Wednesday April 6 2016 to Friday April 8 2016 (scholars are to report on Wednesday and leave after programme on Saturday April 9)
Your Agency’s Task
The Event Management agency is required to propose and implement a cost effective budget that delivers on the following:
- bring together all 200 SHS scholars and 20 UEW scholars at the aforementioned venue and dates for 3 nights.
- bring on board 2/3 facilitators who will be able to deliver on the aforementioned objectives of the programme
- organise a successful and memorable mentorship programme within British Council’s allocated budget.
Specific Deliverables of your agency’s input (work)
On a specific level
·
In collaboration with British Council communicate programme aims and objective, time and venue to headteachers and invite students to the programme.

In collaboration with British Council recruit facilitators (in the absence of BC facilitators).
·
In collaboration with British Council draw up a programme for the event.
·
Coordinate students’ transportation to and from venues.
·
Provide a detailed budget of how funds will be spent on the event. Budget should include agency fee (VAT inclusive, if applicable).
·
Take responsibility for event management for all the days.
·
Payment of venue
·
Payment of facilitators (where Non-BC facilitators are used)
·
Payment of caterers and any others vendors used (where BC has not procured the service)
Key Performance Indicators
- Provision of a cost efficient budget that will ultimately help in successful delivery of the project.
- Better organisation in terms of transportation for students.
- Excellent overall event management.
- Maintaining good communication and collaboration between the Agency and British Council.
British Council’s Input
British Council will manage the following:
- provision of materials (pens, notepads, etc.)
- advisory role where necessary.
Budget for the eventis GHS 60,000 including VAT & NHIL
Full payment of the budget will be made based on submission of actual invoice. A down payment of up 60% of budget can be made before completion of the event.

Criteria for selection of the agency
Your agency will be selected based on a PowerPoint presentation delivered to a panel covering the following;

relevant programme outline to fit event objective

Practical, yet exciting proposals
·
Respect for times & deadlines (non-negotiable)
·
Ability to ‘milk’ budget to achieve more with quality delivery
·
Cost effectiveness vs. efficiency

Points to note:
- Submission of proposals – 22 January 2016
- Adherence to schedule & punctuality
- Selection will be based on the criteria set above
- Students will be staying 3 nights at the lodging place. They are to be fed 3 times daily. They are expected to arrive on Wednesday afternoon and enjoy the programme on Thursday and Friday and return on Saturday morning.
